Hilton Tokyo’s Ballroom Revamp Highlights Commitment to Advanced Technology and Modern Design
Hilton Tokyo’s ballroom revamp underscores the hotel’s dedication to blending cutting-edge technology with contemporary design, creating a versatile and inviting space that meets the evolving needs of both international and domestic event clients. This transformation not only enhances the venue’s functionality but also reinforces Hilton Tokyo’s position as a leading choice for sophisticated, seamless event experiences in the heart of Shinjuku.
Hilton Tokyo has launched a comprehensive renovation of its ballroom as part of a multi-million-dollar, phased upgrade of its event facilities. This initiative aims to address increasing demand from both international and domestic clients, while reinforcing the hotel’s status as a premier MICE venue, as acknowledged by Cvent in 2025*.
The transformation will encompass the entire fourth floor of the Shinjuku property, spanning 1,422 square meters. The redesign focuses on creating modern, inviting, and versatile spaces equipped with advanced technology, all crafted to deliver seamless, engaging, and flexible event experiences.
This project follows the completion of renovations on the third floor in 2024, which expanded meeting areas by 200 square meters to a total of 1,200 square meters. Upon finalizing the phased upgrades in October 2025, Hilton Tokyo will be ideally positioned to support full-day event programs across two floors of meeting rooms plus second-floor dining venues. Event organizers will benefit from smooth guest circulation suitable for a variety of functions such as keynote sessions, breakout meetings, networking lunches, and evening receptions.
Ballroom Enhancements
The Kiku Ballroom, featuring soaring five-meter ceilings and capacity for up to 1,000 guests, will be redesigned to allow division into four separate sections (Kiku 1 through 4), enhancing flexibility. Kiku 1 to 3 offers 774 square meters with five-meter ceilings and can host up to 800 attendees theater-style or 450 for gala dinners. The smaller Kiku 4 covers 158 square meters and accommodates up to 150 guests theater-style or 90 banquet-style.
To elevate the event experience, Kiku 1 will be equipped with Japan’s largest curved Barco LED Wall (measuring 15 meters by 3 meters) and a state-of-the-art digital audio system, both supplied by Vega Project K.K., a leading AV systems integrator. Additionally, an LED screen will be installed in Kiku 3. This advanced audiovisual setup allows for simultaneous management of events on two LED walls, offering remarkable adaptability and customization while delivering an exceptional experience for both hosts and attendees.
Flexible Pre-Function Space
Adjacent to the ballroom, the 490-square-meter pre-function area will be bathed in natural light and provide striking views of the Shinjuku skyline. This versatile space is ideal for registration, refreshment breaks, cocktail receptions, networking, and exhibitions. A cloakroom facility will also be included.
Designed to enhance guest convenience and flow, the pre-function area connects to the guestrooms, hotel lobby, and basement parking via two elevator banks totaling eight elevators. It also links directly to third-floor meeting rooms, second-floor restaurants, and the first-floor lobby through a spiral staircase. Groups booking the entire Kiku Ballroom will enjoy exclusive access to this space.
Celebrating Shinjuku’s Legacy
The interior design is being led by the acclaimed Singapore-based firm Hirsch Bedner Associates (HBA), known for its award-winning projects. Drawing inspiration from Shinjuku’s historic industries of letterpress printing and indigo dyeing, the design pays homage to the district’s rich cultural heritage while embracing Tokyo’s modern energy and artisan craftsmanship.
The space will feature warm, textured elements such as embossed walls and layered materials to engage guests’ senses. Custom furniture and finishes reflect the meticulous artistry of printing and dyeing techniques, while a play of light and shadow will evoke the three-dimensional quality of printed works, creating a sophisticated and immersive atmosphere.
Boosting MICE Prestige
Following this extensive renovation, Hilton Tokyo aims to strengthen its standing as a top-tier venue for meetings, incentives, conferences, and exhibitions (MICE). The hotel combines cutting-edge, versatile event spaces with the unique cultural essence of Shinjuku. It also features 830 well-appointed guest rooms and supports external catering services for events accommodating up to 3,500 attendees.
Felix Busch, general manager of Hilton Tokyo, said: “With Hilton’s rich history spanning over 60 years in Japan, we are thrilled to embark on this renovation with a substantial investment in our conference and events facilities. This initiative will enable us to maintain our position as the premier MICE hotel in Japan, attracting and delighting guests from around the globe with top-tier facilities, locally inspired designs, and cutting-edge technology.
“This renovation allows us to leverage the increasing demand for MICE events from international clients. Our newly designed meeting floor is tailored to meet the growing need for flexible spaces, empowering our skilled event team to deliver seamless events from initial enquiry to final execution.”
Richard Johns, managing director of Vega Project K.K., said: “Vega is proud to once again collaborate with Hilton Tokyo to deliver a next-generation AV solution that elevates the hotel’s standing as a premier event destination. Building on the success of the iconic curved LED screen installed in 2022, the latest upgrade focuses on flexibility, ease of use, and seamless integration. New high-impact LED displays, including mobile screens, have been added to simplify content sharing and allow spaces to be easily reconfigured for a wide variety of event formats.
Hilton Tokyo’s ballroom renovation showcases its commitment to integrating advanced technology with modern design. This upgrade creates a flexible, stylish space tailored to the needs of today’s event organizers. It strengthens the hotel’s reputation as a top-tier venue in Shinjuku.
“To complement the visual enhancements, Vega also designed a powerful yet discreet audio system that ensures crystal-clear sound throughout the third-floor venues. A network of 165 speakers was paired with smart audio routing and intuitive touchscreen controls, enabling staff to easily manage sound levels and sources based on event needs across a flexible floor plan. Wireless microphones and Bluetooth connectivity provide additional flexibility, all supported by a robust digital audio platform for reliable, high-quality performance. The result is a seamless, user-friendly AV experience that supports everything from high-profile conferences to intimate gatherings—without compromising the elegance of the space.”
